The Roman Guy is a customer service and experience based company.  Terms and conditions tend to be full of jargon and tough language and ours probably is not any exception. In the end, we want you to have the best possible experience and will try our provide you with such.  We highly recommend you read over these terms and conditions in their entirety.  One of the most relevant areas is section 6 – 6.3.  This is regarding cancelations and refunds.  Please look it over, understand it and ask questions if need be.  Thanks for considering us!

Terms and Conditions of use –refer to the policy & rules which regulate the use of this site.

User – refers to any person, you, who enter, read, and/or uses this site and all that it has to offer.

Seller – refers to The Roman Guy Inc. and those of which are employed by The Roman Guy Inc. Service Provider – refers to any person not employed directly by The Roman Guy Inc. that provides services under the guidance of The Roman Guy Inc. May also be referred to as a 3rd Party or 3rd Party Service Provider.

Website (site)– refers to TheRomanGuy.com website and any links available from or within the website, but does not include any external websites or links to external websites not belonging .to or controlled by The Roman Guy Inc or a related The Roman Guy Inc company.

Material/s – refers to physical material and items contained in this site that can be extracted. i.e. HTML, photographs, maps, software, films, emails, video.

Services – refers to the products and services offered within this website; tangible or intangible.

TRG – The Roman Guy Inc

Private Tours – A tour that is conducted privately without outside participants.  This means that it is simply your group, however large or small, and the tour guide.

Small Group Tour – A tour that has members from multiple parties and a tour guide.  Group sizes vary as advertised on our website, but basically, your group may be accompanied by others.

Museum Tickets/admissions – refers to the fee charged in order to enter museums, archeological sites and/or desired historical sites of importance.

Booking confirmation – is a confirmation sent via email or fax that confirms services have been confirmed and reserved.

Reasonable Action – any action that remains within the laws of the country in which the action is taken and does not end in a financial loss for The Roman Guy Inc or any of its associates.

Clients – users that have accepted terms & agreements of The Roman Guy Inc. and have paid or eventually will pay for services. This agreement will either be made after the booking process on our site by purchasing our travel products or with a member of our travel planning team via email.

Drivers – refers to service professionals that operate cars, vans, helicopters, boats, buses and/or any vehicle powered by an energy source.

Trip Planning – Services offered by The Roman Guy Inc at a fee which help with the planning of your vacation, including hotel reservations, land transfers, transport bookings, restaurant bookings, extraordinary requests and planning hours.

Trip – Travel Planning planned by The Roman Guy

City Tours — All tours available on TRG website.

Land Rates – Does not include airfare.

When you make a booking with “The Roman Guy” you undertake that you have the authority to accept and do accept these booking conditions on behalf of yourself and your party. These conditions in conjunction with the information set out on our website form the entire agreement between yourself and TRG. TRG reserves the right to change these terms & conditions without notice.

TRG offers you the opportunity to purchase tourism-related products and services without registration. Each product and service includes the following features, which you automatically agree to upon purchase:

–  booking the tour/trip, part of it or a specific experience, in the cities in which we are present;

–  assistance from TRG staff, to the best of their abilities, for the duration of the service

–  opportunity to notify you about new or alternative products and services similar to what you are buying.


Prices are fixed at the time of booking and generally will not be subject to surcharges. The only exception to this will be an increase in our costs arising as a result of any government action or ticket price increase without warning. Museum tickets/admissions are also subject to change without notice due to the addition and removal of Exhibitions by the museums.  We only state this to reserve the right but have never had to enforce it.

Prices may change with the use of promo codes as detailed in section 4.

Our tours and experiences are able to be viewed in multiple currencies, but payment takes place in USD via our Florida USA company (The Roman Guy, Inc.).

Foriegn Exchange Rates (FX rates) are built into our prices using a secure system.  Rates found online are the basis for our rates, but may not be the same as our rates.  Our rates are updated once per day and may be slightly higher than those found online.  The FX rate at which we sell our tours are non-negotiable.

4. Promo Codes

Promo codes and special “offers” are subject to the terms of each offer.  This meaning that the details of the offer described in each place of advertisement.  They are also subject to the below terms.

a) You cannot use two promo codes at once in any situation.

b) Promo codes are valid only for their advertised discount. If an additional amount is discounted due to technical issues with our website or human error, TRG has the right to request additional payment to cover the difference. If the client refused to cover the difference, TRG will amicably cancel the tour and refund 100% of initial payment.

c) The “SAVE 10” promo code DOES NOT work on the Colosseum Underground and Colosseum night tours in any capacity.  These tours are not discounted due to their high cost to run.

d) Promo codes are usable only for the persons that they are offered to if received via email unless explicitly written otherwise.  Promo codes are not a “right” nor an “entitlement”.  They are usable only as described and are not applicable to past purchases.

6. Cancellations

All cancellations should be submitted by email to [email protected] or made over the phone +1 888 290 5595.

The Tour Guy offers a refund on cancellations made more than 24 hours prior to your tour, with the exception of Virtual Tours, Trip Planning (article 9), Private Tours (article 6 & 6.1) and Colosseum Underground Tours* which includes Colosseum Luna* and Colosseum Underground + III level*.

Cancellations made within 24 hours of your tour will not be refunded.

Virtual Tours are nonrefundable, but are transferable with 1 hour advance notice.

The Tour Guy offers a refund on Private Tour cancellations made more than 7 days prior to your tour with the exception of Trip Planning (article 9 of terms & conditions).

Private Tour cancellations made within 7 days of your tour cannot be refunded.

It is highly recommended you carry the mobile device that you provided on your booking to the meeting point.

Refunds may be subject to a cancellation fee, which may vary by tour, situation, or case. Fees are not limited to, but could include the ticket cost for tours that require the purchase of a ticket in advance.

6.1 Cancellation Due To Planes, Trains Or Automobile

As stated above, we do not refund clients within 24 hours of a tour, and this includes customers who are late due to flight or train cancellations, delays or issues caused by traffic or congestion, etc. In general, we do not refund any group tour cancelling within 24 hours of the tour start time, or private tour cancelling within 7 days of the tour start time.

If you are concerned about the possibility of cancellation or nonrefundable costs, we recommend the purchase of travel insurance.

*Colosseum Underground tours are subject to a 50% cancellation fee if cancelled at least 7 days in advance. If cancelled less than 7 days in advance, no refund will be given.


At the initiation of planning a trip TRG reserves the right to request a refundable Trip Planning deposit of 200 euro. This fee is to assess the seriousness of a clients intentions to travel. TRG will offer a full refund of this deposit at any time and for any reason prior to the travel planning confirmation which is received upon the client’s payment of a second deposit. The second deposit is a non-refundable 20% deposit of the total price of the trip. Upon payment of the second deposit, all fees assessed are subject to our cancellation policy detailed in Article 8 below. TRG reserves the right to not confirm or make any necessary reservations prior to the payment of the second deposit.


TRG reserves the right to charge a 50% cancellation fee for any trip cancelled from 30 days prior to the arrival date up to 24 hours prior to the arrival date. TRG reserves the right to withhold the full cost of the vacation for any trip cancelled within 24 hours before the time of arrival in Italy.


Trip planning is a service administered prior to arrival of your desired destination therefore the service is completed upon payment. Once any form of payment is made, TRG will not offer a refund to the Trip Planning fee in your invoice. If you choose to amend or change your reservations TRG as a service will do its best to make it happen without additional charges, but we reserve the right to assess amendments as cancellations if coinciding cancellation policies held by hotels or service providers conflict with those of TRG. All other fees are subject to a 95% refund less admissions with the exception of 3rd party affiliates with conflicting terms and conditions as stated above.


TRG reserves the right to change the start time, date, meeting point of any tour or service you book through TRG or any affiliate companies. Changes like these happen in response to changes in the tourism landscape.

TRG will contact customers via the phone number & email provided when the customer books.  We understand that phones do not often have service when traveling, but TRG does not take responsibility for customers who do not have access to email to track time changes when traveling.

Certain tours are more susceptible to time change. These tour are usually, but not limited to, the Colosseum Underground Tour with Roman Forum & Palatine Hill, VIP Colosseum at Night Tour with Underground & Arena Floor, Restricted Areas Belvedere Top Levels Colosseum Tour, and Arena Floor Colosseum Tour with Roman Forum.  This is because they are very exclusive products which make arranging and organizing them more difficult, as tour operators are restricted by the times and tickets made available by the Colosseum on a monthly basis.

In the case you, the user, are dissatisfied with the change offered and have met the conditions in the following paragraph, TTG will offer a full refund.

10.1 Refund Conditions for Time Changes Made by TRG

On a less frequent basis, tours can be subject to a date change.

In the case of a date change, TRG will reach out to the user via email and/or phone to offer alternative dates for the same tour (pending availability). If an alternative date is not available, TRG will offer the user another type of tour or service (tour or transfer(s)) to replace their original tour. If the value of the new tour or service differs to that of the original tour, the difference will be refunded/charged once the user accepts the new tour or service. Upon accepting the new tour or service, the user is immediately subject to the 24-hour “group tour”/ 7-day “private tour” cancellation policy.

Should none of the options provided by TRG fit the user’s itinerary, TRG will issue a full refund to the user, without restrictions. If the user does not receive TRG’s correspondence or does not respond to TRG’s correspondence prior to their original tour date, TRG will simply refund the user the full amount of their original tour.

10.2 Date & Time Zone

All date and time calculations are to be made in the time-zone of the city in question. e.g. If the tour is meant to take place in Rome, Central European Time (CET).


11.1 Currency

Prices for tours and experiences are denominated in European Euro currency, but final payment is taken in USD.  When you purchase from The Roman Guy on our website or through another party, your sale is taking place in the United States in the state of Florida. For this reason, we take payment in USD.

You may visualize our pricing in Euro, USD,  CAD, AUS and GBP, but your card will be charged in USD.  If you are concerned about your bank charging you fees for making a purchase in a foriegn currency please contact them directly.

This does not make The Roman Guy simply a booking agency.  All tours and experiences are managed and operated by our Tour Operator and offices throughout Italy and Europe.


Once you have finalized your plans for your vacation, our trip planning payment plan is the following:

– Non refundable 20% deposit to confirm the trip

– Full payment 60 days prior if not on recurring billing with credit card

– Full payment 30 days prior if on recurring billing with credit card

All payments are taken by credit card or check.


TRG is not responsible for any loss, injury or damage that occurs during the use of its services i.e. robbery, car crash, illness, acts of terrorism, spontaneous gladiatorial events and/or the chapter Revelations from the bible.

TRG is not responsible for the actions of its 3rd party service providers such as drivers or guides. TRG will however assure that all drivers have the proper insurance policy and licensing for transporting tourists in their locality.


TRG advises all clients to purchase travel insurance in every circumstance possible. TRG may at times recommend an insurance provider, but is not a certified seller of insurance and does not take responsibility for future disputes with any recommended seller of travel insurance. TRG does assure users that it will not recommend any travel insurance provider that has, as far as TRG is aware, caused problems for previous TRG clients.

If any employee of TRG advises any user or client against the purchase of Travel Insurance they will be subject to termination immediately without compensation.


Travelers needing special assistance must report disability or allergy to TRG at the time of booking. TRG will make every effort to accommodate all travelers but not all historical sites are equipped for those who have walking difficulties. Travelers should know that handicap access is not required in Italy such as in the United States (Americans with Disabilities Act). Some sights, such as The Roman Forum, will be difficult to access for those in wheelchairs.


TRG cannot be responsible for lost, stolen or damaged personal items during tours. TRG partners with the best transport providers, attentive guides, and service providers, but it is the responsibility of each participant to keep a watchful eye on their personal effects. TRG always recommends that travelers have adequate insurance to cover these issues.


TRG has done all adequate research and planning to be sure its clients are able to do all of the tours scheduled on TRG website, but we cannot be responsible for strikes within Italy. If there is a museum or archeological site closure due to strike, TRG cannot take responsibility as there is no way to know in advance. We will try our best to reschedule any affected tours, but successful rescheduling to meet client needs cannot be guaranteed. Most museums in Italy reserve the right to close at an instance notice for any reason they deem necessary. TRG cannot be responsible for choices made by archeological site, museums or church management.


Any minor child under the age of majority who participates in a TRG Tour, TRG GUIDED Vacations or TRG service, must be accompanied by an adult and supervised by an adult during the entire length of the city tour/vacation package/service. TRG, or any person employed by TRG, cannot take responsibility for minor children during the length of a TRG city tour/vacation package/service.

17.1 Disability Disclaimer

It is highly recommended that persons needing special assistance book a TRG private tour with a companion that is physically able and completely responsible for providing assistance. Although TRG will do as much as possible to accommodate those with disabilities, TRG cannot be responsible for personal assistance and, in order to ensure you get the most out of your experience, it is suggested that you book a private tour to give you flexibility with times and to ensure the best tour route is planned in advance to meet your needs.

The information is provided by The Roman Guy Inc and, while we endeavor to keep the information up to date and correct, we make no representations or warranties of any kind, express or implied, about the completeness, accuracy, reliability, suitability or availability with respect to the website or the information, products, services, or related graphics contained on the website for any purpose. In no event will we be liable for any loss or damage including, without limitation, indirect or consequential loss or damage, or any loss or damage whatsoever arising from loss of data or profits arising out of, or in connection with, the use of this website.


The Roman Guy Inc (TRG) is not in the business of selling personal information, content, data, or anything that is not property of TRG.  TRG ensures the user & client that we will not intentionally sell your private data that may be collected intentionally or unintentionally by TRG.
